UCS Assist Ltd (“we”, “us”) is the data controller for personal data collected through this website. We are registered in England & Wales under company number 17290123 and are part of UCS Care Group (company number 15067831).

This policy covers this website only. Personal data we process when delivering medical assistance services under contract with an insurer, broker or assistance partner is governed by the agreement with that client and the privacy notice provided at the point of care.

What we collect and why

Enquiry form (Contact page)

Your name, email address and the content of your message. We use this solely to respond to your enquiry and, where relevant, to progress a commercial discussion. If you have accepted analytics cookies, we also attach how you first reached the site and the page you enquired from, so we can tell which of our activities is working. That is marketing measurement, not profiling, and it is not used to make any decision about you.

Join our network form (Network page)

Facility or organisation name, contact name, email address, telephone number, country and the content of your message. We use this to assess and, where appropriate, onboard you as a provider in our international network.

Analytics

If you accept analytics cookies, Google Analytics 4 collects pseudonymised usage data such as pages viewed, approximate location (derived from a truncated IP address), device type, browser and referring site. We use this to understand how the site is used and to improve it. We do not use it to identify individual visitors.

Please do not send us clinical details, patient information or any special category data through the website forms. If you need to discuss a live case, contact us by telephone or use the secure channel agreed with your account contact.

Lawful basis

• Legitimate interests: responding to enquiries and assessing prospective network providers, so we can operate and develop our business.
• Consent: analytics and advertising cookies. You can withdraw consent at any time via the Cookie settings link in the footer.
• Legal obligation: where we must retain records to meet accounting, regulatory or governance requirements.

Cookies and similar technologies

No cookies are set when you first arrive. Analytics and advertising cookies are only set after you select “Accept” on the cookie banner. Until then, and if you select “Reject”, Google Analytics runs in Google’s consent mode: it sends an anonymous, cookieless signal that a page was viewed, with no identifiers and no advertising or profiling data.

We do not sell advertising on this site and we do not build profiles of individual visitors. The LinkedIn cookies above are used to measure the response to our own LinkedIn advertising and to reach similar professional audiences; they are set by LinkedIn and are subject to LinkedIn’s own privacy policy. You can also block or delete cookies in your browser settings; doing so will not affect your ability to use this site.

Who we share data with

We do not sell personal data. We share it only with service providers who process it on our behalf:

• Microsoft: Azure hosting, Azure Logic Apps (form delivery) and Microsoft 365 email, where enquiry and network form submissions are received and stored.
• Google: Google Analytics 4. Analytics cookies are set only where you have consented; without consent only anonymous, cookieless page-view signals are sent.
• LinkedIn: the LinkedIn Insight Tag, which measures the response to our LinkedIn advertising. It is loaded only after you accept; if you reject, or before you choose, it is not loaded at all and no LinkedIn cookies are set.

Some of these providers may process data outside the UK, including in the United States. Where that happens, transfers are protected by the UK Addendum to the EU Standard Contractual Clauses or an applicable adequacy decision. We may also disclose personal data where required by law or to establish or defend legal claims.

How long we keep it

Enquiry correspondence is retained for up to 24 months from our last contact with you, unless it becomes part of a client relationship, in which case it is retained under that relationship’s terms. Network provider applications are retained for the duration of the provider relationship and for 6 years afterwards. Analytics data is retained by Google for 14 months.

Security

The site is served over HTTPS. Form submissions are transmitted over encrypted connections and access to the receiving mailbox is restricted to authorised staff using multi-factor authentication.

Your rights

Under UK GDPR you have the right to:

• Access a copy of the personal data we hold about you
• Have inaccurate data corrected
• Request erasure, where we have no overriding lawful reason to keep it
• Restrict or object to processing based on our legitimate interests
• Data portability, where processing is based on consent or contract
• Withdraw consent at any time, without affecting processing carried out beforehand

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office atico.org.uk/make-a-complaintor on 0303 123 1113. We would ask that you raise it with us first so we can put it right.

We may update this policy from time to time. The date at the top shows when it was last revised.
